Website Privacy Policy

Effective: November 12, 2025 

Scope & role
This Policy explains how we handle personal information collected through our public-facing website (including the “Contact Us” page) and related marketing channels. This Policy does not govern Protected Health Information (“PHI”). When we process PHI for customers under a Business Associate Agreement (“BAA”) or similar data processing agreement, we act as a Business Associate/processor and handle PHI only as permitted by those agreements. Please do not submit PHI through our website forms or emails. 

Information we collect

  • Information you provide directly: name, work email, phone, company, role, and any message contents submitted through our Contact form or other website interactions.
  • Information collected automatically: device and network identifiers (e.g., IP address, browser type and settings), pages viewed, time on page, referring/exit pages, and similar telemetry produced by your browser or device.
  • Cookies and similar technologies: we use a cookie banner to allow you to accept or decline non‑essential cookies. Essential cookies are used only for basic site operation and security. 

How we use information
We use personal information to: 

  • respond to inquiries and communicate with you;
  • operate, secure, and improve our website;
  • perform analytics (in aggregate or de‑identified form where feasible) to understand site performance and content effectiveness; and
  • comply with legal obligations and enforce our terms.

Where permitted by law, we may send marketing communications about Siftwell; you can opt out at any time using the unsubscribe mechanisms provided. 

How we share information
We share personal information with service providers that host our site, provide analytics, security, communications, or related services. These providers are authorized to process personal information only as needed to perform services for us and must safeguard it appropriately. We may also disclose information to comply with law, protect rights and safety, or as part of a corporate transaction. We do not sell personal information and we do not use personal information for cross‑context behavioral advertising (“targeted advertising”).

Our cookie banner gives you the option to accept or decline non‑essential cookies. You can also control cookies through your browser settings. If you clear cookies, the banner may reappear to refresh your preferences. 

Data retention
We retain contact submissions, cookie preferences, and related logs only as long as reasonably necessary for the purposes described above and to satisfy legal or compliance requirements, after which we delete or de‑identify them. 

Security
We employ reasonable administrative, technical, and physical safeguards appropriate for a marketing website. No method of transmission or storage is fully secure; we cannot guarantee absolute security. 

Your rights
Depending on your location (e.g., California, Colorado, Connecticut, Utah, Virginia, EU/EEA, UK), you may have rights to access, correct, delete, or receive a copy of your personal information, and to opt out of certain processing. Submit requests to privacy@siftwell.ai. If you are an end user of a Siftwell customer, please contact your organization (the controller); we will assist them as required under our contracts. 

International transfers
If we transfer personal information across borders, we will use appropriate safeguards as required by applicable law (e.g., standard contractual clauses). 

Children
Our website is not directed to children under 13 (or 16 where applicable), and we do not knowingly collect personal information from them. 

Changes
We may update this Policy from time to time. The “Effective” date will indicate the latest revision.
